Information Request Records Management
7.1 The records covered by this policy includes requester personal information, information gathered, correspondence, and information request performance statistics. This policy is in line with the standards set out in the Welwyn Hatfield Borough Council’s Retention Schedule and the Information Commissioner’s Office Section 46 code of practice – records management guidance.
7.2 Correspondence relating to information request legislation should be retained for 6 years after the initial request in a digital format. After the 6 years has elapsed, it should be destroyed.
7.3 Data compiled from information requests for statistical usage or in statistical format will be retained indefinitely. Requester’s personal information will be removed after 2 years of the year the request was submitted. This information includes requesters’ names, emails, telephone numbers, and/or postal addresses.
7.4 Emails contained in the shared email inboxes and officers’ personal work email inboxes will be retained in line with WHBC’s retention schedule.
7.5 Records will not be disposed of according to precise date, but instead will be accumulatively disposed of once a year.
